CANCELATION POLICY
Camp, Clinic & Program withdrawal/refund policy
DC Way appreciates your understanding of our cancelation/refund policy. We understand that injuries and family emergencies occur and that schedules change, but we have to make significant program investments well in advance of the start dates to ensure the best possible experience for all attending players. In order to control our programs in the best way, we have adjusted our cancelation policy. We aim to provide you with the safest experience possible with the new changes.
All cancelation requests must be submitted via email and are subject to review by our staff.
Cancelation and refund requests must be submitted at least 14 days before the start of the program in order to receive a 100% refund of program cost minus the website fee associated with an acceptable credit card.
Cancelation and refund requests submitted between 7-14 days before the start of the program will be granted full credit towards future programs for the purchased amount (not a full refund).
Refunds or credits will not be available for cancelation requests submitted fewer than 7 days before the start of the program, unless there is an emergency or unavoidable circumstance, as determined and approved by the DC Way Administrator.
Same-week cancelations will NOT be eligible for a refund or credit.
Children who do not attend the program and do not submit a credit request prior to the start of the program will NOT be eligible for any form of refund.
If a player attending a program is injured or ill, the Administrator will consider a program credit. A physician's note outlining that the player cannot continue to participate may be requested in order for the credit to be granted.
Credits never expire and are non-transferable.
Anyone wishing to cancel their registration must email DC Way at contact@dcway.com.
Requests should include the participant’s name, age, program name, date, and appropriate reason for a refund. All cancelations will be processed at the earliest convenience, money will be returned to the credit card that was used to register.
Inclement weather policy
As we all know, the weather in the Capitol Hill area can be unpredictable at times. We hope to have the best weather during our camps and clinics; however, good weather is not always guaranteed. At DC Way, we continue playing outside when there is a little on-and-off drizzle. However, if the weather becomes unplayable and you must pick up your child or our program is canceled ahead of time, a refund or credit will be available.
DC Way will notify of program cancelation due to inclement weather on the website’s Weather Updates page.
If there is thunder and/or lightning, then the DC Way team and players will wait inside for 30 minutes until it clears. If the weather does not clear, then the program will be canceled.
Preference for refund or credit will be indicated on the program sign-up form. Credits never expire and are non-transferable. Refunded money will be returned to the credit card that was used to register.
Participants will receive a 100% refund of program costs minus the website fee associated with accepting credit cards if a program is canceled in the beginning.
The credits given will be equivalent to the registered program. For example, if you received a credit for a One Day Camp cancelation then the credit can only be used for another One Day Camp.
If you wish to change the refund or credit preference that was indicated, then send a request via email 1 day prior to the start of the program.
In order to get a refund or credit preference in the case of a program cancelation, the parent must email DC Way at contact@dcway.com.
